Executive Assistant
Role Overview:
The Executive Assistant will play a crucial role in ensuring the smooth operation of our co-founders' schedules and priorities. This position requires a thoughtful and organized individual who can manage multiple tasks effectively while maintaining a high level of professionalism and confidentiality.
KEY RESPONSIBILITIES
Calendar Management
- Schedule and manage appointments, meetings, and travel arrangements for the co-founders, ensuring optimal use of their time.
- Make recommendations for your executives with regard to their time management, prioritization, delegation, and organization
Travel Logistics
- Organize and manage travel itineraries, accommodations, and transportation for the co-founders and other members of the leadership team
Communication
- Serve as a point of contact for internal and external stakeholders, handling correspondence and inquiries with professionalism and discretion.
Meeting Coordination
- Organize and plan team meetings and offsites by assisting with the production of materials and pre-reads, taking notes, and tracking action items
- Prepare agendas, take meeting minutes, and follow up on action items to ensure timely execution.
Project Support
- Assist with various projects by conducting research, preparing reports, and coordinating with team members as needed.
- Establish new—and improve existing—administrative systems and processes
- Support the operations and culture of various Reap teams
Confidentiality
- Handle sensitive information with care and maintain confidentiality at all times.
ROLE REQUIREMENTS
- Solid experience as an Executive Assistant or in a similar support role, preferably in a fast-paced environment.
- Exceptional organizational skills with the ability to prioritize tasks and manage competing deadlines.
- Strong attention to detail and commitment to producing high-quality work.
- Excellent verbal and written communication skills in English
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with productivity tools and software.
- Ability to think critically and proactively address challenges.
- Strong interpersonal skills with the ability to build relationships and work collaboratively across teams.
