People Operations Administrator
Role Overview:
HR Documentation
- Handle and organize all HR-related documentation (contracts, offer letters, employee agreements).
- Maintain up-to-date records for all employees, ensuring compliance with local regulations and company policies.
- Draft, revise, and upgrade the Employee Handbook and Company Policies as needed.
Onboarding and Offboarding
- Manage paperwork and equipment for new hires, including local jurisdiction enrollment, taxation setup, and benefits enrollment.
- Process offboarding paperwork and ensure compliance with legal and internal procedures.
Database Management
- Oversee and maintain employee data and HR databases, ensuring accurate and organized information.
- Prepare for scalability by optimizing filing systems and ensuring data is easily retrievable.
Benefits Administration
- Coordinate benefits programs, including health insurance, pension, and any additional perks.
- Handle benefits-related inquiries from employees and liaise with providers.
Compliance and Reporting
- Ensure compliance with local labor laws and regulations.
- Prepare necessary HR reports for internal and external stakeholders (e.g., tax filings, and audits).
Event Planning and Coordination
- Work with respective stakeholders to organize and coordinate company-wide events both locally and globally, including but not limited to anniversaries, birthdays, project milestones, and celebrations
Adaptability & Project Ownership
- Assist in new projects that may fall outside traditional responsibilities.
- Be open to role evolution as the company grows and projects emerge.
ROLE QUALIFICATIONS
Education
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
Work Experience
- 2-4 years of experience in HR administration, employee benefits coordination, or a related field, preferably in a dynamic or scaling environment (e.g., startups).
- Demonstrated experience with HR documentation, onboarding/offboarding, and compliance processes.
Technical Skills:
- Tech-Savvy: Proficiency in office productivity tools like Excel, Google Workspace, Notion, and Slack and the ability to learn and work with automation tools (e.g., Zapier,) to streamline workflows.
- Compliance Knowledge: Familiarity with local labor laws, tax regulations, and benefits administration for both local and remote employees.
