Role Overview
We're hiring a People Operations Coordinator to help drive smooth, consistent, and people-centric HR operations. This role is suited for someone with 3+ years of experience in People Ops or HR administration, who’s confident managing the building blocks of HR processes but is still early in their journey toward owning systems and strategy.
As a key support member of our People team, you’ll focus on execution, accuracy, and continuous improvement, supporting efforts across onboarding, documentation, benefits, and HR systems — with increasing opportunities to contribute to data analysis and projects.
What You'll Do
Administrative Support & Employee Records Management
- Provide daily administrative support for employee lifecycle events (onboarding, offboarding, changes, and movements).
- Ensure timely data entry and updates across employee records and HR systems.
- Maintain version control of HR documents and templates.
- Audit data to identify inconsistencies and required updates.
- Respond to routine employee queries and redirect complex issues.
- Compile and maintain accurate, confidential employee files in line with data privacy regulations.
- Collect, file, and archive employee documents (IDs, contracts, compliance forms, performance evaluations) per policy and legal requirements.
- Maintain internal trackers (headcount, probation status, etc.).
- Assist with compiling data for monthly HR reports and dashboards.
- Identify missing information and support data clean-up.
Onboarding & Offboarding Coordination
- Support with onboarding logistics (account setup, documentation collection, first-day checklists).
- Support offboarding steps by coordinating paperwork.
- Track onboarding status using internal tools and flag delays or gaps for follow-up.
Benefits & Employee Support
- Answer routine questions related to benefits, policies, and documentation.
- Track enrollment status or changes and escalate cases as needed to providers or senior team members.
- Facilitate the onboarding and offboarding of employees into benefits programs (e.g., medical insurance, retirement schemes), ensuring all required forms and ID documentation are completed and submitted on time.
Compliance & Audit Assistance
- Support collection and organization of documentation required for compliance reviews or audit requests.
- Assist with internal checklist tracking (e.g. policy acknowledgments, contract renewals, location-specific labor requirements).
- Conduct periodic audits of employee records and system entries to ensure accuracy, completeness, and policy adherence.
- Support internal and external audit activities by providing timely and organized documentation as requested.
- Monitor document expiry dates (e.g., contracts, visas, work permits) and initiate timely renewals or updates.
Culture & Operations Logistics
- Assist in planning and executing recurring employee moments (birthdays, work anniversaries, welcome kits, etc.).
Evolving Projects & Growth Opportunities
- As the company grows, so will this role. You may take on new responsibilities based on your strengths and interests.
Qualifications
- 3+ years of experience in HR coordination, People Ops, or administrative roles within dynamic or scaling environments
- Comfortable using tools like Google Workspace, Slack, Notion, and spreadsheets
- Exposure to core HR workflows such as onboarding, benefits support, or documentation handling
- Bonus: Familiarity with tools like Zapier, HRIS platforms, or basic reporting dashboards
- Bachelor's degree in HR, Business, Psychology, or related field — or equivalent hands-on experience
